Registration and Orientation

Onboarding and Registration

All new hires will receive an email inviting them to begin Onboarding approximately one month prior to their start date. Onboarding is a process that allows for the completion of new-hire paperwork in advance of a new employee’s start date and will need to be completed in full prior to the beginning of the first day of work. Once Onboarding is completed, new academic hires should contact Mark Rinaldi at mrinaldi@rockefeller.edu or 212-327-8380 to schedule an in-person registration appointment.

Registration will include the completion of some additional paperwork, as well as a brief visa orientation for new hires who are foreign nationals. The Federal Employment Eligibility Form (I-9) will also be completed at this time, so please be sure to bring appropriate identification. Additional details on what forms of ID are acceptable can be found at USCIS.

Login details for Rockefeller email and wifi services will be provided to all new employees at registration.

Please note that appointments cannot be activated until Onboarding and registration have been successfully completed.

University I.D. Cards

Information on obtaining a University identification card will be provided during registration. University ID Cards are issued by the office of Campus Security, located in Room 102 of the Nurse's Residence, on Mondays from 10:00 a.m. to 12:00 p.m. and Thursdays from 2:00 to 3:00 p.m.

Applying for a U.S. Social Security Number

Everyone who is employed in the U.S. must have or obtain a Social Security card. If you do not have one, you must apply for one as soon as possible after your arrival at the University.

The nearest Social Security office is located at 123 William Street, 3rd Floor. Office hours are Monday through Friday from 7:00 a.m. to 4:00 p.m. except on holidays when the office is closed.

You must appear in person to apply for a Social Security card and you must bring with you (1) your passport, (2) your I-94 card, and (3) your DS-2019 (for J-visa holders), I-20 ID form (for F-visa holders) or I-797 form (for H-visa holders), and a letter from your employer certifying your employment (this will be provided during registration). Bring photocopies with you of your I-94 card and respective visa form; DO NOT leave your passport or any original visa documents at the Social Security office.

Once you have filed your application, your card will be sent to you in 6 to 8 weeks. It is very important to notify our office when you have received your Social Security Number – we will need to transfer the number into our database for tax purposes.

Orientation

At registration, individuals will be scheduled to attend an Academic Policies and Benefits Orientation. Orientation is held on alternating Wednesdays at 9:30 a.m. in Founders Hall, Room 504. New hires attending their scheduled registration should first visit the Human Resources Office in Founders Hall, Room 103.

At orientation, detailed information will be provided on insurance benefits, campus services, University policies, academic titles and visa regulations.

Benefits note: new hires have 31 days from their start date to complete and submit medical insurance enrollment forms. After 31 days, the employee will no longer be able to enroll in insurance benefits until the next Open Enrollment or a qualifying life event.
